Presenter Guidelines

Congratulations on being selected to deliver your presentation at the Technology Exchange 2026 held October 26 - 30 in Minneapolis, Minn. Please submit your presentation and a PDF copy by October 16 and follow these guidelines to ensure it is delivered successfully.  If you have any questions or cannot comply with these guidelines for any reason, please contact presentations@internet2.edu as soon as possible.

PowerPoint Template

This PowerPoint template is compatible with the 2026 Internet2 Technology Exchange theme, and is for use by Internet2 staff, and, optionally, by other presenters.

Wide aspect ratio (pptx, 16:9 HD, 1920px wide, 1080px high) – Note that the 16:9 template is supported by all conference projectors.

Preparing and Submitting Your Presentation

To ensure that your presentation can be processed appropriately and associated with the correct session, please name and submit your presentation according to these guidelines:
 

  • Name your presentation file – Please name your presentation according to this example: YYMMDD-lastname-title, where YYMMDD is the year, month and day the presentation is scheduled; lastname is your last name, and; title is a shortened version of the topic or session title, lowercase. For example, a PowerPoint presentation on perfSONAR given on 17 Feb 2021 by Matt Zekauskas would be named 210217-zekauskas-perfSONAR.pptx.”
  • Ensure text is readable by the audience – Please use a minimum font size of 28 for your smallest text so it is accessible to the audience.
  • Use an accepted format – Please save your presentation in one of the following formats: PowerPoint (pptx) or Portable Document Format (pdf). NOTE: All conference projectors support 16:9 (widescreen) format.
  • Submit your presentation to presentations@internet2.edu by DATE. Meeting support may contact you if you do not submit your presentation before the deadline.


Delivering Your Presentation

Here are some simple tips to help make your presentation a success.
 

  • Please practice your presentation in advance to ensure you are comfortable with the timing and content.
  • Please confirm your presentation time with the event support personnel.
  • If your presentation includes a panel of speakers, please sit in your speaking order. The first speaker should sit closest to the podium.
  • If you are serving as the panel moderator, please identify yourself to event support personnel and notify them of any speaker cancellations or last-minute changes.
  • If your presentation includes embedded or linked video content, please inform event support personnel at least 2 days in advance so appropriate testing can be completed. A scheduled technical check may be required.
  • Please speak directly into the microphone at all times. For audience questions, ask attendees to use the room microphones or repeat their questions into your microphone. This helps ensure all attendees can clearly hear and participate in the discussion.
  • Presenters may bring a printed handout. Presenters scheduled in a general session room will participate in a brief technical check on the day of their session. The Production Manager will reach out with additional details and scheduling information prior to the event.
  • Presenters are expected to use the podium laptop provided in the meeting room. Exceptions may be granted for presentations requiring specialized software, demonstrations, or other unique technical requirements. Please indicate your request to use a personal laptop when confirming your session's audio visual requirements. Approved presenters will be required to participate in a technical check prior to their session to verify connectivity, display settings, audio, and any other presentation requirements.
